Statuses

Define the stages tasks and projects move through, which one new work starts in, and which ones mean "finished".

A status says where a piece of work is: To do, In progress, Waiting on client, Done. Tasks and projects each have their own list, managed from Settings › Task Statuses and Settings › Project Statuses.

Add or change statuses

Open the status settings

Go to Settings and select Edit on Task Statuses (or Project Statuses).

Add a status

Select New Status and type its name.

Pick a colour

Choose a colour. The Preview chip shows how it'll look in grids and on records.

Set Default and Closed

See below.

Save

Select Save.

Default

The default status is the one new work starts in when no one picks a status: tasks from forms, workflows, email or the Service Hub, and the starting value on new tasks. Only one status can be the default. Turning it on for one turns it off for the rest.

Closed

Turn on Closed for every status that means the work is finished, like Done, Cancelled or Won't do. Task Arrow uses this to decide:

  • which tasks count as open, overdue and due soon on the dashboard
  • which tasks the Tasks grid shows by default (open ones)
  • a project's Completion percentage
  • when to close a task's subtasks along with it

Removing a status

A status that's in use can't be removed. Its delete button is unavailable, and hovering over it says Status is still in use. Move the tasks or projects to another status first.
