Templates and recurring tasks

Save a task as a reusable template, create tasks from it on demand, or have Task Arrow create them on a schedule.

A task template is a blueprint for a task you create again and again: a monthly report, a weekly check, an onboarding checklist. Instead of fixed dates, a template has rules, such as start 2 days after creation and due 1 week after start, so every task made from it gets sensible dates.

Templates can include subtasks, so one template can set up a whole checklist.

Open your templates

Next to the Tasks title, change the view selector from Standard to Templates. The grid now shows your templates with their Start Date rule, Due Date rule, whether recurrence is Active, and the Next Run.

Create a template

Switch to Templates

Set the view selector to Templates and select New Task Template.

Fill in the task

Add a title, description, status, priority and assignee as you would for a normal task. Every task created from the template starts with these values.

Set the start date rule

Choose how the new task's Start Date is set:

  • No rule: no start date.
  • On creation date: the day the task is created.
  • After creation date: a number of days, weeks or months after it's created.
  • Recurring every: creates a new task on a schedule. See below.

Set the due date rule (optional)

Due Date (after start) sets the due date a number of days, weeks or months after the start date. It needs a start date rule.

Save

Select Save Task.

Create a task from a template

Open the template and select the Create task from template button next to its title (or use the same button on the template's row in the grid). Task Arrow creates a real task, with its subtasks, and works out the dates from the template's rules.

Recurring tasks

Set the start date rule to Recurring every, then choose an interval such as 1 week or 3 months. Task Arrow then creates a new task from the template each time the interval comes round.

End onOptional. No tasks are created after this date.

The Next Run column in the Templates view shows when the next task is due to be created.

Note

Only top-level templates can recur. A template's subtasks are created along with it each time, so they can't have a schedule of their own.

Templates offered through a service

On the Pro plan, a template can also be offered to other workspaces through the Service Hub. The Services view lists those templates. This works a little differently: see Create a service.
