Create a service

Build the templates, bundle them into a service and publish it to the catalogue.

1. Build the templates

A service is made of templates from your own workspace. Create them first:

  • Tasks: a task template, with subtasks for each step. Make it recurring for work that repeats, like a monthly close.
  • Projects: a project template for larger engagements.
  • Lists: a list template, fields and starting entries included, such as a Receipts register.
  • Custom forms: forms the subscriber will use, or an intake form that asks new subscribers questions (see Intake forms and variables).

Start from the Services view

In Tasks, Projects, Lists or Custom Forms, set the view selector to Services and select New Task Service (or the equivalent). The template is created with a Service Hub Services field that must be filled in, so it can't be saved without being offered through a service.

How service templates differ

When a task or project template is offered through a service, Status, Priority and Assigned To are no longer yours to set. They read Default status for subscriber, Default priority for subscriber and Subscriber, because each subscriber's copy uses that subscriber's own defaults and is assigned to the person who subscribed.

Once a template is offered through a service, it stops creating records in your own workspace. Its recurrence runs separately for each subscriber instead.

2. Create the service

Add a service

Go to Service Hub › Provided Services and select Add Service.

Service Details

Enter a title and description. Subscribers read these in the catalogue, so describe what they get. Then choose a Service Category (required) and, if the category has them, a Subcategory.

Attach templates

In each section (Associated Task Templates, Associated List Templates, Associated Project Templates and Associated Custom Form Templates), pick a template and select Add. Use Open to check a template, or the remove button to take it out of the service.

Choose an intake form (optional)

On one of the custom form templates, switch on Intake form to ask subscribers its questions when they subscribe.

Save

Select Save Service. It's now in the All Services catalogue.

You can also offer a template from the template itself: open it and choose services in its Service Hub Services field.

3. Staff it

Open the service's Team tab and tick the people who work on it. See Team and subscribers.

Changing a live service

  • Adding a template sets it up for every existing subscriber.
  • Removing a template stops it for subscribers. Records they already have stay in their workspaces.
  • Editing a recurring template's schedule (interval, end date, pause) applies to every subscriber, but each keeps their own timing. Changing every month to every 2 weeks means two weeks after each subscriber's last one.
  • Deleting the service ends every subscription.

To delete, open the service and select Delete Service.
