Control provider access

Subscriber

Decide how much a provider can see and do in your workspace, and change it whenever you like.

Each subscription has its own provider access level. It's set when you subscribe, and anyone in your workspace can change it at any time.

LevelThe provider…
No accesscan't see anything in your workspace. They can still be assigned work by name.
View onlycan open your workspace and read what this service put there, but not change it.
Can editcan open your workspace and edit, comment on and complete what this service put there, as if they worked here.

Change access

Open My Subscriptions

Go to Service Hub › My Subscriptions.

Find the service

Each subscription card shows Provider access and the current level underneath. Filter by Provider or Service if you have many.

Change it

Select Change and pick a new level.

The change is immediate. If someone from the provider is in your workspace when you switch to No access, they lose access on their next click.

What a provider can never do

Whatever level you choose:

  • They only see records that belong to this service, never your other tasks, projects, lists or forms.
  • They can't open your Settings, Workflows or Service Hub, or change your statuses, priorities or fields.
  • They can't make one of your forms public.
  • Only people the provider has put on the service's team can come in at all.

Who from the provider is in my workspace?

In My Account, the Services section under Manage Users lists every provider with a presence in your workspace, the access you've granted each one, and a link to View Subscriptions.

Changes a provider makes appear in your records' History under the provider organisation's name, and they trigger your workflows like any other change.
