Work with service records
How records that belong to a service behave in your workspace, and how to add your own records to a service.
A service record is a task, project, list or form in your workspace that belongs to one of your subscriptions. The records a service creates are service records, and you can add your own too.
Recognising service records
- In the Tasks grid, the Service Provider column shows which provider a task came from.
- The task filters include Service Provider. Pick a provider to see only its records, or None for your own.
- A record's Service field shows which subscription it belongs to, and underneath, what that provider can do with it, for example Acme Bookkeeping can edit.

When your workspace has at least one subscription, tasks, projects, lists and forms get a Service field:
- Open the record and choose the subscription in Service.
- Read the line underneath. It tells you what the provider will be able to do with this record.
- Save.
To take a record back out, clear Service and save. The provider stops seeing it, and nothing is deleted.
Rules
- Subtasks and project tasks follow their parent. A subtask is always in the same service as its parent task, and a task in a project is in the project's service. The field is locked there and says why.
- Nothing links across services. A record can only be filed under, or refer to, a record in the same service (or in no service). If you try to take a record out of a service while something in the service still refers to it, Task Arrow lists what to detach first rather than pulling other records out with it.
Assigning work to the provider
The provider organisation appears in assignee pickers on that service's records, marked Service provider. Assigning a task to it hands the work to the provider's team. The provider is assignable as an organisation. Its individual staff don't appear in your pickers.
You can also @mention the provider in a comment on a service record, and its team will be notified.
Recurring work
If the service includes recurring task or project templates, new records keep arriving on schedule for as long as you're subscribed. Each subscriber's schedule starts from the day they subscribed.
